Women's Division fonds

Fonds consists of 5.4 metres of textual records, including 73 architectural plans, 2116 photographic images, artifacts (a hankerchief from the handicraft competition and prize ribbons), and one scrapbook. They cover the period 1920-1980, the predominant dates being 1948-1980. Arrangement and description is at the series and file levels. The original order of the Women's Division records has been maintained. The arrangement is chronological by year, and within each year the files are classified alphabetically according to subject. Some of the subjects of the records include fashion, handicrafts, home furnishings, publicity, and prize lists for women and children. The records of the Office of the Corporate Secretary are arranged and described at the series and sub-series levels and consist of textual and photographic material . The majority of photographs are found in files that also contain textual material. File lists have been provided for each series and sub-series. A photograph list also exists.

No records exist for the Secretary's Office between the years 1879 to 1918. Records for the years 1919 to 1930 consist of only a few files. Therefore the majority of records are for the period 1930-1985. Because the functions and duties of the Secretary, Secretary-Treasurer, and Corporate Secretary were virtually identical, and the records demonstrate this continuity, they have been arranged and described as one fonds. Further, the current title of Corporate Secretary has been chosen to describe the fond as a whole.

Topics covered include the Chief General Manager’s dealings with Metro Hall and Toronto City Hall, other fairs and exhibition associations, the CNEA and its various committees, and CNE departments; planning all aspects of CNE and Exhibition Place operations, exhibit space rental, maintenance and expansion of CNE buildings, long-range planning, surveys and studies; dealing with complaints, liaising with the Royal Agricultural Winter Fair and the Canadian International Air Show and heading CNE management meetings. The Rental Department fonds, RG 11, is arranged and described at the series level, with an accompanying file list for each series. The fonds consists of four series: Subject files (RG 11-0-1), Show & event lists (RG 11-0-2), Building reports (RG 11-0-3), and Photographs (RG 11-0-4).

Textual records in the fonds consist of correspondence, lists, floor plans, reports, and contracts related to the various shows and events coordinated by Rental Department staff, including picnics and other summer events, trade shows, sporting events, holiday events, and concerts. These events took place in buildings across the grounds, including the Coliseum and Annexes, the Horse Palace, the Automotive Building, the Horticultural Building, the Queen Elizabeth building, and the Grandstand. Graphic and printed materials include show pamphlets, brochures, and exhibitor kits, and photographs of various shows, and the CNE.
Few documents exist for the years 1953, 1964-1967, and 1987-1995. No records exist for the years 1980-1983 and 1993-1995. No further accruals are expected.

Music Department fonds

The Music Department fonds, RG 10-2, is arranged and described at the series level, with an accompanying file list. The fonds consists of two series: Jack Arthur files (RG 10-2-1) and Subject Files (RG 10-2-2).

Textual records in the fonds consist of correspondence, reports, schedules, minutes, and publicity material related to the Music Department and Grandstand show staff, musicians, performers and other entertainers, competition contestants, and CNE visitors. Graphic and printed materials include photographs of dancers, performer headshots, and other events coordinated by the Music Department, as well as sheet music from the 1953 Grandstand show.

Few documents exist for the years 1960, 1962, 1973, and 1981. No records exist for the years 1954 to 1956, 1959, and 1963 to 1972.

The Entertainment Department fonds, RG 10, is arranged and described at the series level, with an accompanying file list. The fonds consists of a single series: Subject Files (RG 10-0-1).

Textual records in the fonds consist of correspondence, reports, contracts, schedules, minutes, charts and policies related to the Entertainment Department staff, musicians, performers and other entertainers, competition contestants, and CNE visitors. Graphic and printed materials include photographs of dancers, parades and parade floats, costumed characters, music and dance competitions, and other events coordinated by the Entertainment Department, as well as pamphlets and brochures.

Few documents exist for the years 1952-1980 (for further records from this time period, see RG 10-2, Music Department fonds). No records exist for the year 1984. When the CNE became independent in 2013, they retained their administrative and operational records from that year. Those records, and any new records created after that date, are the property of the CNE and are stored in the CNE offices or the CNE Archives. As a result, only one further accrual is expected for RG 10 for the records created between 2000 and 2012, which still fall under the retention schedule as of 2018.

Bone Family fonds

The records comprising the Bone Family fonds, MG 7, are arranged and described at the series and sub-series levels and consist of 15 cm of material including prize ribbons, badges, printed material, correspondence, certificates, photographs, and a commemorative sign. The records document the involvement of Percy Bone and W. Arthur Bone in the Canadian National Exhibition Association and their ties with the Horticultural programme of the annual CNE. The fonds consists of two sous-fonds reflecting the fact that two individuals were responsible for the creation of the fonds as a whole: the late Percy Bone, and his son W. Arthur Bone.

Within the Percy Bone sous-fonds, there are four series: Prize Ribbons, MG 7-1-1; CNE Files, MG 7-1-2; Certificates, MG 7-1-3; Badges, MG 7-1-4. Comprising the W. Arthur Bone sous-fonds are three series: CNE Files, MG 7-2-1; CNE Committee Badges, MG 7-2-2; Tree Planting Sign, MG 7-2-3. A logical arrangement has been imposed on the material as it lacked any discernible original order.

Of special interest are the badges received by Percy Bone as a Director of the CNE and those acquired as a member of the CNE's Women's Committee. Also significant are the photographs and commemorative sign given to Arthur Bone as keepsakes of the 1973 tree planting ceremony in memory of Percy Bone.

James G. Perrin fonds

The fonds documents the activities of James Perrin as a member of the Canadian National Exhibition Association Sports Committee, and his public relations work on behalf of the Canadian National Exhibition's Sports and Agriculture Departments.

The fonds is divided into five series. This arrangement reflects the original order of the records as they were maintained by James Perrin. MG 3-0-1, Sports Committee Files, consists of agendas, minutes, correspondence, questionnaires, registration forms and photographic prints pertaining to the Canadian National Exhibition Association, Power Boat Committee, a sub-committee of the Sports Committee.

Series MG 3-0-2, CNE Publicity Files, consists of correspondence, news releases, and photographic prints documenting the promotion of various CNE events such as Aquarama, Dog Swim, Mayor's Bathtub Derby, Horse Show, Dairy Princess, and the Miss CNE contest by James G. Perrin & Associates.

Series MG 3-0-3, Photographs, consists of photographic prints of the Miss CNE contest, and various waterfront activities. Series MG 3-0-4, Scrapbooks, consists of two volumes, dated 1975-1980 and 1980-1981, containing photographic prints, newspaper clippings, and printed material. Series MG 3-0-5, Artifacts, consists of one item, a 1971 CNE Bathtub Derby trophy awarded to James Perrin in appreciation of his work on behalf of the competition.

The fonds documents the activities of Claire Coates as a member, director and vice-president of the Canadian National Exhibition Association, and her participation on various CNEA committees.

The fonds is divided into two series. MG 1-0-1, Committee files, consists of agendas, minutes, correspondence, and support material of the Archives and Foundation Committee, Arts, Crafts and Hobbies Committee, Feature Country Committee, Program Development and Review Committee, Horticulture Advisory Committee, Long-Range Planning and Development Committee, and Women's Committee, committees on which Claire Coates served.

Series MG 1-0-2, Artifacts, consists of 17 CNE badges, presented to Claire Coates in her capacity as a member of the Canadian National Exhibition Association, Women's Committee, and as an associate director, director and vice-president, and 14 lapel pins issued by the CNE.

The collection consists of photographic negatives and transparencies documenting various trade shows held at Exhibition Place and associated events held at other locations, such as publicity photo shoots and galas. Included are images of the Boat Show, the Canadian National Business Show, the Flower Show, the National Home Show, the International Electric and Electronic Conference and Exposition, the Manufacturers’ Opportunity Show, the Canadian National Pool and Patio Show, and the Sportsmen Show. Photographs depict crowds walking through the shows; performances, ceremonies and competitions that were held at the shows; models and notable personalities; exhibitor booths; show signs displayed on the exterior of the buildings where the shows were held; and various displays of items and events relevant to each show. Also included are portraits of William Mallatratt (Chief General Manager of Exhibition Place from 1976-1981), his house and his retirement party (before he became Chief General Manager), which took place during the Home Show of 1976.

Photographs were arranged by the creator alphabetically by show name. This arrangement was maintained and, where necessary, some refiling was done. The files in this collection consist of negatives and transparencies that were kept together in labelled envelopes containing between 2 and 200 photographs. This file structure has been kept, although the negatives and transparencies have been rehoused in new envelopes. The titles written on the original envelopes have been transcribed and recorded in a note in each file’s description; however, descriptive titles have been supplied as the file titles if the original titles were not complete or correct. Many photographs are labelled with numbers used by the creator to maintain control over the negatives. These creator numbers, when they exist, have been recorded in the alpha-numeric designations note for each file.

The Exhibition Place Printed Material collection is an amalgamation from many sources, brought together from stray materials, through culling projects and from subsequent acquisitions. This artificial collection was created to make these materials accessible to researchers and staff, as previously they were scattered and unrecorded.

The Collection is comprised of 4 series based on format: Exhibition Place General Printed Material, Exhibition Place Newsletters, Exhibition Place Posters, and Sports Programmes. Within the General Printed Material and Newsletters series, items are catalogued at the file level and are arranged chronologically. The Posters series is catalogued at the item level and are arranged chronologically. The Sports Programmes series is catalogued at the file level and arranged alphabetically by subject, then chronologically.
